3. Our Role
Controller vs. Processor
It is important to understand our role in handling data:Data Controller: We act as the Data Controller for your Account Information (your login, billing details, and settings).Data Processor: We act as a Data Processor for the Message Data (recipient email addresses, phone numbers, and message content) that you send through our system. You, the user, are the Data Controller for this data.
4. Information We Collect
A. Account Information (Clients)
When you sign up for MailGantry, we collect:Contact Details: Name, email address, and company organization details.Configuration Data: DNS verification records (SPF/DKIM/CNAME) and domain settings.Templates: The HTML/MJML templates and variables you create within the system.
B. Message Data (Recipients)
To deliver your transactional emails and SMS, we process:
Recipient Contact Info: Email addresses and mobile phone numbers.
Message Content: The subject line, body text, and attachments of emails, and the text content of SMS messages.
Variable Data: Specific data points (e.g., {{organisation.name}}, {{user.reset_token}}) injected into templates via API.
C. Delivery & Performance Logs
We automatically collect metadata regarding the delivery of your messages:
Status Logs: Sent, Delivered, Bounced, Queued.
Engagement Data: Open rates (via tracking pixels), Link clicks, and Spam complaints.
Full Message History: Important: To assist with debugging and auditing, we store a copy of every email and SMS processed by the system, including the full rendered design and original content.
5. How We Use Information
We use this information to:
Deliver Communications: Relay emails and SMS messages to the intended recipients via our infrastructure and third-party carriers.
Provide Analytics: Display delivery statuses and engagement metrics (opens/clicks) in your dashboard.
Ensure Security & Prevent Abuse: Monitor traffic patterns to detect spam, phishing, or violations of our Acceptable Use Policy.
Debug & Audit: Provide you with a historical view of sent messages to verify exactly what your end-users received.
6. Data Sharing and Sub-Processors
We use third-party infrastructure to deliver messages. To provide the Service, data is shared with:
Cloud Infrastructure Providers (e.g., AWS): For hosting the application, database, and handling SMS/Email transmission gateways.
Telecommunication Carriers: For the final delivery of SMS messages.
7. Data Retention
Account Data: Retained as long as your account is active.
Message Logs: Full copies of sent emails and SMS logs are retained for a specific period (e.g., 90 days) to allow for debugging and auditing, after which they are either deleted or anonymized, depending on your plan settings.
Suppression Lists: We retain a list of "Unsubscribed" or "Bounced" addresses indefinitely to prevent you from accidentally emailing users who have opted out or are invalid, protecting your sender reputation.
8. Your Rights (GDPR)
For Clients: You have the right to access, correct, or delete your account information.
For Recipients (End Users): If a recipient contacts us regarding their data (e.g., a "Right to be Forgotten" request), we will forward this request to you (the Client/Data Controller) for fulfillment, as we process this data on your behalf.
